Your team in Terriqon is made up of Managers (who run projects, review submissions, and approve reports) and Field Officers (who collect data on the ground). Your Organization Admin owns billing and account setup and doesn’t consume a seat. This guide walks you through inviting both roles, assigning them to the work that matches their role, archiving them when they cycle off, and keeping your combined seat usage inside your plan’s cap. For the underlying model — what each role can do, and how seats are counted — see Roles & Seats.

Inviting Team Members

The same invite flow covers both Managers and Field Officers — you pick the role during the invite.
1

Go to Team in the left sidebar

Click Team in the left sidebar to open your organization’s user roster.
2

Click Invite

Click the Invite button in the top-right corner of the Team page.
3

Enter email addresses and choose a role

Type the email address of the person you want to invite and select their role — Manager or Field Officer. To invite multiple people at once, enter each address on a new line or separated by commas; you can mix roles in the same invite by selecting a different role per line.
4

Assign to projects or forms (optional)

You can assign a Manager to one or more projects at invite time so they land straight into the work they need to oversee. Field Officers are assigned to specific forms — you can do this at invite time too, or skip it and assign them from the form settings later.
5

Click Send Invites

Each invitee receives an email with a personalized acceptance link.
6

They accept and install the PWA

When someone accepts the invite, they set a password. Field Officers are then prompted to install the Terriqon PWA on their device — see Collecting Data for the installation instructions you can share with them.

Tracking Invite Status

After sending invites, monitor progress from the Team page. Every Manager and Field Officer is in one of three states: Because Pending invites don’t use a seat, you can queue people in advance without eating into your cap. The seat is only consumed once they accept and become Active.
Your Organization Admin never counts toward your seat cap. There’s exactly one Admin per account, and they own billing.

Assigning Team Members to Work

The role decides what someone gets assigned to.

Assigning Managers to Projects

Managers oversee projects — they build and assign forms, review submissions, and approve reports for the project they’re on.
1

Open the project

Navigate to Projects in the left sidebar and click the project you want to manage.
2

Open Donors & Managers

Inside the project, open the Donors & Managers tab.
3

Add or remove a Manager

Click Add Manager to assign someone from your roster. To remove a Manager, open the stakeholder card and click Unassign.
Removing a Manager from a project doesn’t archive their account or delete anything — it just removes their oversight of that specific project.

Assigning Field Officers to Forms

Field Officers are assigned per form, not per project. Only the officers you assign to a form see it on their device.
1

Open the form

Navigate to the form (either from Forms in the sidebar or inside a project’s Forms tab) and open its settings.
2

Manage assigned Field Officers

In the form’s settings, add or remove Field Officers from the assigned list. Changes take effect the next time each device syncs.
A Field Officer can be assigned to as many forms as they need to work on — a registration form, a monthly follow-up form, an exit interview form, all at once.

Archiving and Reactivating

When someone cycles off your team — a project phase ends, a Manager moves to a different portfolio, a Field Officer finishes a seasonal contract — archive their account rather than deleting it.
1

Open the Team page

Go to Team in the left sidebar and find the person in the roster.
2

Archive the account

Open their profile, click the three-dot menu, and select Archive. The seat is released immediately, and their profile and history are preserved.
Archiving does three things at once:
  • Frees the seat so someone else can take an active slot on your plan.
  • Blocks access to the platform and the mobile app — an archived member cannot sign in.
  • Preserves all history — submissions, project assignments, review actions, and audit trail entries remain intact and attributed.
To bring someone back later, open their archived profile and click Reactivate. This only works if you have a free active seat on your current plan — if you’re at your cap, either archive someone else first or upgrade your plan.
Archive rather than delete when someone cycles off a phase. Reactivating them for the next phase is one click and keeps all their historical submissions attributable to the right person.

Seat Limits by Plan

Your plan’s seat limit is a combined pool shared by active Managers and active Field Officers, in any mix. Alongside your active cap, each plan also allows an equal-sized archived roster.

Field

Up to 15 active seats (Managers + Field Officers combined)Up to 15 archived on the roster

Ops

Up to 50 active seats (Managers + Field Officers combined)Up to 50 archived on the roster

Command

Up to 150 active seats (Managers + Field Officers combined)Up to 150 archived on the roster
On the Field plan, for example, you could run 3 Managers and 12 Field Officers, or 15 Field Officers and no extra Managers, or any other mix up to 15 active members. To stay inside your cap:
  • Archive people who are between phases or off the project — the seat is released immediately.
  • Upgrade your plan from Settings → Billing → Change Plan if your team has grown beyond your current tier.
  • Review the roster regularly from the Team page — the seat counter shows current usage across both roles.
If you’re on the Command plan and need capacity beyond 150 active seats, contact your account manager to discuss a custom arrangement.
Only the Organization Admin can change plans or manage billing. Managers and Field Officers don’t see billing settings.
